Under the direction of the Manager, Human Resources (HR) with guidance from others on the department team, this position performs a range of critical and highly confidential administrative support services such as preparing, coordinating and filing documentation related to labour/employee relations such as bargaining proposals/notes, grievances, complaints, investigations and discipline; coordinating labour/employee relations related meetings, tracking action items and taking meeting minutes for complaints, concerns, investigations and disciplinary hearings; coordinating the job evaluation and classification process; supporting the recruitment process by processing staffing requests, posting job opportunities, scheduling interviews and preparing new employee information packages; administering health care benefits by processing new employees or any changes to existing employees; conducting human resources and labour relations research; tracking completion of performance evaluation and attendance management documentation; as well as performing sensitive clerical and administrative duties such as initiating, updating and maintaining personnel files; and other related and assigned duties.


Knowledge and Skills required for this position are as follows:

  • Knowledge of general office practices and procedures, including skills in basic arithmetic, grammar, composition, spelling, punctuation, computers, office machines;

  • Intermediate to advanced knowledge of various software and spreadsheet programs (MicrosoftOffice, Excel and Access);

  • Very good knowledge of health care benefits administration;

  • Knowledge of human resources (specifically recruitment and staffing practices) principles, processes and procedures;

  • Knowledge of records management and bookkeeping;

  • Excellent interpersonal, written and oral communication skills;

  • Good research and report writing skills;

  • Demonstrated problem solving and analytical skills;

  • Good organizational skills and ability to work with minimal supervision;

  • Detail-oriented, thoroughness, reliability;

  • Ability to prepare a variety of documents and correspondence, perform data entry and coordinate other related office procedures with a high level of accuracy;

  • Ability to work independently;

  • Ability to maintain confidentiality, use tact and diplomacy, and work under pressure; and

  • Cross-cultural awareness and sensitivity.


The successful candidate will have completed a one year secretarial/administrative assistant program at a recognized college or training institution plus have two to three years’ experience preferably in a Human Resources and/or health care setting. Post secondary diploma or course work in human resource management areas (such as recruitment/staffing or labour relations) or a related field such as business administration or project management would be desired; non-violent crisis intervention; experience with Meditech information system; knowledge of hospital organization or health care; and bilingualism (English/French) would be an asset.


An equivalent combination of education/training and/or experience may be considered.
